Information for Incoming Graduate Students
Getting Oriented
You are encouraged to attend a brief orientation session offered each term by the Graduate Education Office. Our orientation program is designed to introduce you the services available on campus and to help you to get off to a great start here at the School of Science & Engineering (SoSE)! For additional information, call the Graduate Education Office at 503-748-1581.
Here are a few things that you can do before coming to campus that will make your transition to school an easy one:
Graduate Student Checklist:
- Receive your offer letter
- Sign and return acceptance letter
- Send your final transcripts to the Graduate Education Office (if applicable)
- Complete the Health Insurance Portability and Accountability Act (HIPAA) online prior to starting classes
- Complete the Respect At the University (RAU) online prior to starting classes
- Send in Measles Immunization Form to the Graduate Education Office prior to starting classes
- Complete and turn in Health Insurance Forms to Graduate Education Office (full-time students only)
- Update your address with the University in Institutional Student Information System (ISIS) or by emailing the Graduate Education office
- Review the Student Handbook for important policy information online.
- Submit all International Student Paperwork (if applicable) to the Office of International Services
- Attend Orientation
- Register for classes online
- Start classes!
Advising & Registration
Academic Advising
Each department provides academic advising for new matriculated students. Depending on the department, students will either be assigned an advisor or an SPC (Student Program Committee) prior to beginning their academic program.

Online Student Record
Every student has secure, on-line access to his/her student records through ISIS Online. Through ISIS Online you can register for classes, pay tuition and fees, update addresses and preferred email address, as well as access your schedule of classes, grades, unofficial transcripts and student financial account details.
Registration A schedule of classes is available onlinewith the specific courses being offered each term, including the dates, times and locations. Registering for classes on or after the first day of each term will result in a non-refundable late registration fee being charged to your student account. SoSE’s Academic Calendar will provide you with important dates each term.
Tuition & Fees
Student Accounts At the time of registration, tuition and fees are charged to your student account. Outstanding balances on student accounts are due the second Monday of the quarter. If the balance is paid off in that time, no interest is charged. If you pay your balance after the due date, interest will be charged at a rate of 1% monthly. All balances must be paid in full prior to registering for subsequent quarters. A hold will be applied to your account if you have an overdue balance. A financial hold on your account will prevent you from being able to register for subsequent quarters or ordering an official transcript. A student account statement will be mailed to your home address monthly from the central OHSU cashiers office if you have an outstanding balance.
Even if some or all of your tuition and fees are covered by a scholarship or tuition waiver paid for by the University, your student account will still be charged these amounts. However, payments to your account will be made by SoSE in accordance with SoSE's communicated financial commitment. Consequently, a partially or fully funded student will still have a student account and will still receive statements in the mail. Students in this situation should be aware that charges may be made to your student account and a statement mailed to your house prior to SoSE's payments being applied to your account. In these situations, realize that you are not responsible for the amounts committed to by the University and your next statement will reflect SoSE’s payment.
If you are receiving a student loan, the OHSU financial aid office will deposit your loan payment directly to your student account. Financial aid or loan payments will go first towards paying off any outstanding account balances. Any remaining balance will be refunded to you by the OHSU Cashier’s Office.

Health Insurance Coverage
Medical & Dental Insurance All fulltime, matriculated students are eligible for group student medical & dental insurance through SoSE. Eligible students must either enroll in the school health plan or apply for a waiver by providing proof of other acceptable medical coverage. Students electing SoSE student insurance may also cover eligible dependents for an additional premium. Student medical and dental insurance is provided by Kaiser Permanente. Two health plans and an optional dental plan are available to meet the varying needs of our students. Detailed information on the plans, including premium costs, is located on the Student Insurance website.
Student Assistance Program – Confidential Counseling, Support & Referral Services SoSE provides all matriculated students and their family members at no additional cost, a Student Assistance Plan offered through EASE. This program provides confidential, short-term counseling for stress, family problems, emotional concerns, substance abuse, and financial issues, as well as referrals for further help. A pamphlet describing EASE services is available in the Department of Graduate Education. Students may contact EASE directly by calling 503-228-3223 or visiting their website.
Campus Resources
English as a Second Language To assist students, for who English is a second language, SoSE has educational CDs to help strengthen English skills. The educational CDs are available at the front desk of the library for checkout. Request “American Accent for Success in Business”.
Graduate Education Office
The Graduate Education Office offers assistance and support services to all SoSE students and is open Monday-Friday from 8:00am – 5:00pm. The Graduate Education office provides international services, career services, student services, admissions and registration assistance. Students are encouraged to stop by and introduce themselves to the friendly and helpful staff in the Graduate Education Office.
Samuel L. Diack Memorial Library The library’s website provides much information about library services and resources and links to the catalog, databases, online journals, and other regional resources. The web catalog provides a complete record of the library’s holdings -- both print and electronic. Orientation tours are offered at the beginning of the fall, winter, and spring terms. Students can request a tour at any time by scheduling one with a library staff member.
Student Council The SoSE Student Council serves as the liaison between the student body and the faculty and administration and strives to improve the quality of life for students. Representatives make themselves available to students in their department in order to forward their comments, ideas, and concerns to the Student Council and to promote their involvement in student body activities. Representatives also serve to disseminate all pertinent information to the students in their departments. The Student Council appoints members to a wide variety of task forces and committees at SoSE as well as to the OHSU Student Council, where those appointed serve as representatives of SoSE’s student body. Additionally, Student Council sponsors and coordinates major social events throughout the academic year in order to bring together the entire student body and the SoSE community at large. Student Services
As a small school within a large university, SoSE is committed to personal attention and support of our students. “Student Services” at SoSE refers to a collection of information, assistance and programs in primarily nonacademic matters. Included in this collection are: ombudsman and advocacy services, housing information, local information, student activities, Student Council, and job/career search assistance. For more information contact Heather Flynn at 503-748-1581. Heather’s office is located within the Graduate Education Office in the Paul Clayton Building.
Students with Disabilities OHSU/SoSE believes that a diverse student body enhances the educational opportunities for all students and is beneficial to the profession at large. If you are a student with a documented disability or you think you might experience a disability and believe you will need accommodations while a student at OHSU, we encourage you to contact the Office for Student Access. The Office for Student Access provides accommodations, information, support, advice and resources institution-wide. The Office for Student Access works with a Program Accommodation Liaison (PAL) designated at each school to ensure equal access to all the programs and services offered by that individual school. Housing & Dining
Housing Information While SoSE has no on-campus housing, it is in the middle of a very large residential area. There are numerous apartment complexes, rental houses, bus and light-rail lines and shopping areas nearby. The Graduate Education Office maintains a list of local apartment buildings on their website.
Anne’s Deli
Anne’s Deli is located on the ground floor of the Wilson Clark Center. The hours of operation are from 7 AM to 4 PM. Hot entrees, grilled items, sandwiches, soups, fruit, drinks, coffee, tea, espresso and snacks are available. Microwaves and vending machines are also available for students’ use.
Things to know……
Non-Smoking Campus
OHSU is a tobacco-free environment. Policy prohibits the use of all tobacco products on campus, including cigarettes, cigars, pipes, all forms of smokeless tobacco, clove cigarettes, and other products made primarily with tobacco. OHSU expects all employees, students and visitors not to smoke while they are anywhere on the OHSU campus and refrain from smoking until they leave the campus. OHSU is committed to assisting employees and students who wish to quit smoking. For information about cessation services, contact the OHSU Employee Wellness Program at 503- 494-WELL (9355).
Textbooks
SoSE does not have an on-site bookstore. Required and recommended textbooks for each class are listed on the class description web page accessed through our online schedule. Students find that ordering books from existing online book retailers is more convenient and cost effective than the conventional bookstore shopping.
Getting to Campus
Biking
SoSE provides bike racks outside the Jack Murdock, Central, and Cooley Science Center buildings. You must provide your own lock. Showers with dressing areas are located in the bathrooms in the Jack Murdock building, the Cooley Science Center, and Central buildings. In the Portland, Beaverton, and Hillsboro area, many streets include a bike lane. You can bring your bike along on all TriMet buses and MAX (light rail). For more information, call the Bikes on TriMet hotline, 503-962-7644. Always wear a helmet when biking.
Public Transportation Students may purchase an annual pass that allows them to use all Tri-met services (bus and light-rail) at a significantly reduced rate. Contact Nancy Christie at 503-748-1070 for information on obtaining a pass.
TriMet provides trip-planning and route-finding information. Call-A-Bus is a 24-hour automated telephone information system for every bus route and MAX light-rail line, and can be reached at 503- 231-3199.
Parking Parking at SoSE is free and you do not need a parking permit. While SoSE does have a security service which patrols the parking lots, you are responsible for your own vehicle security; please hide valuables and lock your vehicle.
